Job Cards


 Job cards can be created from a recorded defect, service, MOT etc or independently.


Details of labour costs, costs of parts and detail of the work performed can be recorded in detail. The system recognises if a part number has been used on the vehicle on a previous job card in the last 12 month, and will remind mechanics to check warranty dates to ensure that extra costs are not be incurred unnecessarily. 


Costs are recorded once a job card is signed off, and a breakdown of these can be analysed by workshop or vehicle in the Reports section of the desktop.


*The workshop can be locked down so that mechanics only have access to this section of the desktop manager. 3rd party workshops can be given their own logins if required so that they can advise of costs before the work is authorised by the relevant department.

Go to Workshop >Job Cards > Add Job Card > Create a New Job Card


  • Select a vehicle/trailer of asset from the drop down bar, select a workshop, date and time the work is to start on the vehicle.
  • Fitters name, odometer reading, and any associated invoice/ purchase order number can be added. The option to create a quotation is available if your workshop is doing work for clients. Departments can be created and costs can be allocated to different elements of the business.
  • Reported defects, new defects, services etc can be added by selecting the relevant button on the job card.
  • Fitters can add additional information to the job card in a free text box.
  • If more than one fitter is working on the same vehicle they can be added to the job card and their time working on the job can also be recorded.
  • Job cards can be a work in process, and saved for later if the workshop is waiting on parts, approval, documentation etc. A status history shows who has carried out the work or approved a job for completion.
  • Any associated documents relating to the job can be uploaded to the job card.


Job cards can be edited at any point up to sign off. Once the job is completed and signed off, it can no longer be altered.




Defects that are recorded by drivers during a walkaround check / in-use check can be added to the job card by selecting the reported defect button. any outstanding defects can be added to the job card. 


The fitter will be given the option to add the defect to the Calendar (company decision). They can then enter 

Job Info. Type the key word into the repair type field then a drop down of possible defects relating to the defect type will be displayed. If the exact defect is not listed there is a General Repairs & Maintenance option, additional notes can added to the notes field.



Parts can then be added to the job card (+ Part button). Select either a Tyre or add Other Part. If Tyre is selected then the tyre configuration for the vehicle will be displayed. Select the tyre that is being being added from stock, then select the tyre on the grid that is being replaced, press submit. The fitter will then be given the option to add DOT codes, serial numbers, reason for replacement etc. * These details can be added at a later time (before the job card is signed off) and will depend on how granular you would like your reporting to be.





If a Part is added then details such as cost, reason for replacement, life expectancy can be added. Again, these details will make for more detailed reporting that can be used to evaluate vehicle costs.



Job status can be updated, status history can be viewed and any associated documents like warranties can be uploaded to the job card. Costs for parts, labour, call out fees will only added to the system once the job card has been marked as "Signed off".
