How do I create an event in the calendar?

Modified on Fri, 21 Jun at 2:37 PM

From the desktop, select Calendar.  You can then select either a monthly, weekly or daily view of events in the calendar. Filters can be applied to view events for individual vehicles, workshops, type and event status. There is a legend at the bottom of the calendar that lists the choice of events. The dashboard will automatically populate with all standard event types, these can be edited to display only events that are relevant to your fleet, and you can create bespoke event types.

To create an event, click on the relevant date to pop up a widget that will allow you to enter the details for the event.

  • Give the event a title e.g. "Service"
  • A time that the event is due to start and an expected duration for the work being carried out can be recorded, but is not essential.
  • Select the related vehicle, trailer or asset
  • Allocate to the workshop performing the task
  • Select a type of event e.g. MOT, periodic service, brake test, etc.  This is important for categorising your events and will help you to filter the view of your calendar.
  • You can choose to create the event as recurring e.g. every 6, 8 weeks, monthly, annually etc.
  • If this is an event that will recur you can select the frequency of occurrence - monthly, 6 weekly, annually, etc.  Importantly, if this is a recurring event you must select how many times it will recur.
  • PMI's can be started from the calendar or documents uploaded from 3rd party garages, like wise MOT, Loler, licence checks etc. can be uploaded through the event.

Edit and event by clicking on it.

  • You can choose to edit a single event or all events for that entry.
  • Events can be filtered by asset, workshop, type or status.
  • The status of the job can be set to in progress, completed, overdue etc.
  • Edit the details of the event with the option to also reflect the update in all occurrences of the event.
  • Documents relating to the event can be uploaded here or can be deleted if the event is cancelled.

You can change the date of the event by simply clicking and dragging it to another day.  If this is a recurring event you will have the option to move all future related events in line with the new date.

You also have options to export the calendar to an ics file or print the current view.
